Zoological Society of Japan, Public Interest Incorporated Foundation - Privacy Policy<\/strong><\/p>\n

The Zoological Society of Japan (hereinafter referred to as the \"Society\") establishes this Privacy Policy (hereinafter referred to as the \"Policy\") regarding personal information provided in connection with the projects and activities conducted by the Society, and strives to protect personal information by building a personal information protection system as follows.<\/p>\n\n\n\n

(Definition of Personal Information)
Article 1 (Personal Information) \"Personal information\" refers to \"personal information\" as defined in the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the \"Personal Information Protection Act\"), and refers to information about a living individual that can identify a specific individual by name, date of birth, or other descriptions contained in the information, as well as information that can be easily cross-referenced with other information to identify a specific individual, or information containing a personal identification code.<\/p>\n\n\n\n

(Methods of Acquiring Personal Information)
Article 2. The Society shall acquire personally identifiable information (such as name, address, date of birth, telephone number, and e-mail address) in the following cases:
(1) When accepting applications for admission to this academic society or changes to member registration information
(2) When accepting registration for applications or similar purposes for projects conducted by our academic society
(3) When accepting submissions from the inquiry form<\/p>\n\n\n\n

(Purpose of Use of Personal Information)
Article 3. The Society shall use the acquired information within the scope of the purpose necessary for the execution of the operations listed in each of the following items. When using personal information beyond the scope of the purpose, consent shall be obtained in advance by an appropriate method.
(1) For member management such as membership registration procedures, creation of member directories, and billing of membership fees, as well as for identity verification
(2) For activities aligned with the purpose of this academic society, such as information exchange among members (limited to members of this academic society)
(3) To process donation payments and send donation receipts, etc.
(4) For the operation of this academic society, such as important communications regarding conferences, general meetings, and election voting; mutual communication among board members, committee members, etc.; and the implementation of questionnaires for operational improvements.
(5) For sending our academic society's publications, providing and sending information or notices regarding various services, seminars, workshops, and public recruitment information of our academic society and related organizations
(6) To respond to inquiries, etc. (including verifying the identity of the person)
2 The Society may change the purpose of use of personal information to the extent that it is reasonably recognized as having relevance to the purpose of use before the change.
3. If the Society changes the purpose of use of personal information, it shall publish the details on the Society's website.<\/p>\n\n\n\n

Provision to third parties
Article 4 Personal information shall not be disclosed or provided to third parties without consent, except in the following cases.
(1) When it is necessary for the protection of a person's life, body, or property, and it is difficult to obtain consent
(2) When it is particularly necessary for the improvement of public health or the promotion of the sound upbringing of children, and it is difficult to obtain consent
(3) when it is necessary to cooperate with a state organ, a local government, or a person entrusted by either of them in executing the affairs prescribed by laws and regulations, and obtaining the consent of the person is likely to impede the execution of said affairs
(4) When entrusting all or a part of the handling of personal information within the scope necessary to achieve the purpose of use in order to smoothly execute business operations
(5) When personal information is jointly used with a specific person, and the fact to that effect, the items of personal information jointly used, the scope of persons jointly used, the purpose of use by the persons using it, and the name or appellation of the person responsible for the management of the said personal information are notified in advance or placed in a state easily accessible to the person.
(6) When personal information is provided in connection with the succession of business due to a merger or other reasons.
(2) The Society may provide personal information to a third party when it gives advance notice or makes public announcement of the matters listed in each of the following items, and has notified the Personal Information Protection Commission.
(1) that the purpose of use is provision to a third party
(2) Categories of personal data provided to third parties
(3) Method of provision to third parties
(4) To suspend the provision of the said personal information to third parties upon the request of the individual.
(5) Method for accepting requests from the person in question<\/p>\n\n\n\n

(Management of Personal Information)
Article 5. The Academic Society shall endeavor to keep personal information accurate and up to date, shall manage it strictly, and shall manage it with consideration for security. However, personal information disclosed by the provider themselves or already publicly available shall be excluded from the scope of management by the Academic Society.
2. The Academic Society shall take necessary measures to prevent the loss, destruction, alteration, and leakage of personal information, as well as to address risks such as unauthorized access to personal information and computer viruses.
(3) In the unlikely event that a leakage or other breach of personal information occurs, our academic society shall appropriately report the incident to the Personal Information Protection Commission and shall also notify the affected user of the personal information. In addition, if notifying the said user is difficult, alternative measures shall be taken.<\/p>\n\n\n\n

(Consignment of Personal Information Handling)
Article 6. The academic society may entrust the handling of personal information (including personal information that the academic society has acquired or is about to acquire), in whole or in part, within the scope necessary to achieve the purpose of use. In this case, the academic society shall conduct a rigorous investigation of the subcontractor and exercise appropriate supervision to maintain confidentiality.<\/p>\n\n\n\n

(Disclosure, Correction, Deletion, Suspension of Use, etc. of Personal Information)
Article 7 When the Academic Association is requested by an individual to disclose their personal information, it shall disclose such information to the individual without delay. However, if the disclosure falls under any of the following items, the Association may decide not to disclose all or part of it. In such cases, the Association shall notify the individual to that effect without delay.
(1) When there is a risk of harming the life, body, property, or other rights and interests of the person or a third party
(2) when there is a risk of causing significant hindrance to the proper implementation of operations
(3) When violating other laws and regulations
2 If the personal information held by this academic society is incorrect, this academic society shall correct or delete the personal information upon request from the individual, in accordance with the procedures prescribed by this academic society.
3. When the Society receives a request from the person under the preceding paragraph and determines that it is necessary to respond to such request, it shall correct or delete the personal information without delay and notify the person thereof.
4. When the Academic Society receives a request from the individual to suspend the use or erase (hereinafter referred to as \"Suspension of Use, etc.\") personal information on the grounds that it falls under any of the following items, the Academic Society shall promptly conduct necessary investigations, carry out the Suspension of Use, etc., of the personal information in accordance with laws and regulations, and notify the person to that effect. However, in cases where suspending the use of personal information, etc., involves excessive costs or it is otherwise difficult to perform the Suspension of Use, etc., and alternative measures necessary to protect the rights and interests of the individual can be taken, such alternative measures shall be implemented.
(1) When handled beyond the scope of the purpose of use
(2) When it is personal information acquired by deceit or other wrongful means
(3) When it is used in a manner that is likely to promote or induce illegal or improper acts.
(4) When the Society no longer needs to use the user's personal information
(5) When a leak, loss, or damage (hereinafter referred to as a \"leak, etc.\") of personal data containing special care-required personal information has occurred, or when there is a risk of such an occurrence
(6) When a leakage or similar incident of personal data (including personal information acquired or to be acquired by this academic society that is scheduled to be handled as personal data) has occurred or is likely to have occurred due to an act suspected of being committed for an illicit purpose (such as unauthorized access or a ransomware attack),
(7) When there is a risk that the rights and interests may be harmed by the handling of said personal information
5. If the person in question wishes to request the disclosure, correction, addition, deletion, suspension of use, or suspension of provision to a third party of their personal information, they shall make such a request to the inquiry contact specified in Article 9, accompanied by identity verification documents. Actual costs may be charged as an administrative fee for disclosure.<\/p>\n\n\n\n

(Change of Privacy Policy)
Article 8. The Society may change the contents of this Policy, except for matters otherwise provided for by laws and regulations or this Policy. The modified contents shall become effective when notified by the method prescribed by the Society or published on the Society's website.<\/p>\n\n\n\n

(Handling of complaints and consultations)
Article 9: The Society shall establish a contact point for inquiries regarding complaints and consultations related to the handling of personal information, and shall respond appropriately and promptly.
